Versino Task Pilot – SAP Business One Works While You Sleep
Creating invoices from delivery notes, printing documents, synchronising posting fields – automatically, reliably, with a full audit trail. The Task Pilot takes over the routine tasks that cost your team time every single day. No more forgetting, no more careless mistakes, no more overtime at month end.
What the Task Pilot Does for Your Daily Operations
Documents That Create Themselves
Open delivery notes are automatically converted to invoices, recurring purchase orders are generated without any intervention, documents are printed or archived as PDFs. The Task Pilot works directly inside SAP Business One – every transaction passes through the normal system validation, receives a real document number and appears in the audit trail. No exports, no imports, no workarounds.
End of Excel Macros and Makeshift Solutions
Many businesses automate with home-built VBA scripts, SQL jobs or Excel files that only one person understands. The Task Pilot replaces these isolated solutions with centrally managed, documented workflows. SAP updates or staff changes no longer break anything. Your IT team gains time for more important work than maintaining workarounds.
Posting Fields Always Correctly Populated
Cost centres, project codes, profit centres – user-defined fields in purchasing and sales documents must also be correct in the journal entries. The Task Pilot synchronises these values automatically. Your reports in Crystal Reports, SAP Analytics Cloud or DATEV show consistent data. No more manual corrections before the month-end close.
Runs in the Background, Alerts You to Problems
Jobs run overnight, every 15 minutes or once a month – whatever your process requires. Every execution is logged: what ran, how many documents were affected, whether any errors occurred. If something goes wrong, the responsible team members receive an email. You always know what happened without having to check constantly.

Drop Shipment

Frequently Asked Questions
Answers to the most important questions about the Versino Task Pilot for SAP Business One.
The Versino Task Pilot is an add-on for SAP Business One that lets you centrally automate, control and monitor recurring ERP processes. Typical use cases include the automatic creation, printing and archiving of documents such as invoices and delivery notes, time-controlled execution of background tasks, and the automatic population of user-defined fields (UDFs) in journal entries and purchasing documents. The goal is to reduce manual steps, minimise sources of error and sustainably relieve your IT department.
The Task Pilot supports automation of all common SAP Business One document types – including invoices, delivery notes, credit memos and further document types. Documents can be automatically generated, printed and archived. In addition, the Task Pilot monitors in the background to ensure that, for example, no delivery note is missed during invoicing, and keeps user-defined fields in the respective documents up to date at all times.
The Task Pilot can automatically populate journal entries with UDF values and synchronise posting fields with purchasing documents. This ensures your financial data remains consistently accurate without staff having to manually add or correct values. Especially at month end, this significantly reduces the effort required for corrections and increases the reliability of your posting data.
Recurring tasks are executed on a schedule in the background via the Windows Task Scheduler – entirely without manual intervention. You define once which processes should run, when and at what interval. The Task Pilot then executes them reliably and on time. All executions are logged, so you can always trace what ran and when.
Every automated task is fully logged – you can see at a glance which jobs completed successfully and where issues occurred. In addition, you can opt to receive email notifications about the status of your processes. This gives you full control over your automations at all times, without having to monitor them manually.
Yes – that is exactly what it is designed for. Many SAP Business One customers work with custom scripts, scheduled stored procedures or external utilities that have grown over the years and become difficult to maintain. The Task Pilot consolidates all these automations into a central platform with unified configuration, logging and monitoring. This significantly reduces the maintenance burden on your IT team and creates a sustainable, standardised solution.
